Youth Group Resident Hourly - $30/Hour
Youth Group Non-Resident Hourly - $50/Hour
Adult Group Resident Hourly - $80/Hour
Adult Group Non-Resident Hourly - $100/Hour
Non-Profit Groups Resident Hourly - $50/Hour 
Non-Profit Groups Non-Resident Hourly - $75/Hour

Community Room Rental Fee

Cafeteria Rental Fee 
Resident Hourly- $50/Hour

Staffing Fees and City Licensing
Recreation Staff Hourly - $25/Hour - Only charged if additional staffing is needed
Event Staff Hourly - $45/Hour - Only changed when the spaces are used for political or high profile events.Depending on what you are selling at the event, you must obtain the appropriate permit: a Food Service License is required for food sales, while a Goods Vendor License may be necessary for other items.

Rental Information 
  1. All renters must be at least 21 years of age.
  2. Renters conducting coaching sessions, teaching classes, hosting public events, or other higher-risk activities must maintain general liability insurance of at least $400,000. The "City of Portland" must be named as an additional insured party on the policy.
  3. Facility rentals are available at a maximum of eight-week increments at one time.
  4. Payment and Balances: Full rental fees must be settled at least 14 days prior to the booking date online or in person at our main office, 212 Canco Road.
  5. Access and Timing: Entry to the rented space is permitted only at the scheduled start time. All setup and breakdown activities must occur within the reserved rental period.
  6. Space Condition: We aim to provide a clean and organized environment. Should you encounter any issues regarding the condition of the space, please notify a Recreation staff member immediately for assistance.
  7. Prohibited Substances: Renters and their guests are prohibited from bringing or consuming alcohol, marijuana, or illegal drugs within any inside or outside areas of the facility.
  8. Legal Compliance: Renters and their guests must comply with all applicable federal, state, and local statutes, ordinances, and regulations.
  9. Group Accountability: The primary renter is responsible for the conduct and safety of all individuals in their group throughout the duration of the rental.
  10. Post-Event Cleanliness: The space must be returned to its original condition. Renters are responsible for ensuring all areas used are left clean and tidy upon departure.
  11. Damages: Renters are responsible for any damage to the space.

DEPOSIT

If the total amount is over $100 a security deposit is required when reserving the space.

CANCELLATION/REFUND POLICY
  1. Payment is due at least 14 days prior to your event date. If the balance is unpaid 14 days
prior to your first date, we reserve the right to release your reservation and retain your
deposit.
  1. A full refund will be provided for cancellations greater than 14 days prior to rental.
  2. Cancellation less than 14 days prior to rental will result in the loss of any required
security deposit and any associated staffing/custodial fees.
  1. Renters who do not show up on the day of the scheduled rental will forfeit their full
rental fee and any required security deposit and the Department will be under no obligation to refund any amounts to the renter.

USER PRIORITY

Groups that use city facilities are characterized as follows, organized from highest to lowest
priority.
  1. Portland Parks, Recreation & Facilities programs & events.
  2. Portland Schools and their associated School Committee sanctioned programs.
  3. Non-profit organizations and individual users.
  4. Commercial, profit-making activities.

*All non-profit organizations must provide proof of current non-profit status including a
recent copy of the IRS Form 990 and/or Tax Exempt Certificate.

TERMINATION BY THE DEPARTMENT

The Department reserves the absolute right to terminate this agreement without prior
notice if:
  • Renter fails to comply with the Community Center Rental Policy or General
Rental Rules;
  • The Department Director or their designee determines, in their sole discretion,
that the renter has made misrepresentations to the Department in connection with
the use or occupancy of the facility;
  •  The Department Director or their designee determines, in their sole discretion,
that the rental or event is hazardous or presents a substantial security issue; or
  • The Department is prevented from furnishing the use of the facility, or any portion
thereof, on the scheduled date due to unforeseen circumstances.

In the event this agreement is terminated by the Department, the renter will receive a full
refund of any prepaid deposit or rental fee or account credit, which shall be the renter’s exclusive

legal and equitable remedy available as a result of cancellation of a rental by the Department.
Under no circumstances shall the Department or City be responsible for any other damages
including, but not limited to, consequential damages of any kind.

FAILURE TO COMPLY WITH POLICY

Any individual, group or organization that does not comply with the terms and conditions set by the City of Portland will be disqualified from future use of Department facilities at the discretion
of the Director of the Department.
